What changed
Your duty to check clearances hasn't changed. What's new is how the regulator knows who is working with your students, and how fast you must tell them.
Check the clearance before they start. Then connect them to your school in WWC Connect within 21 days for volunteers or 7 days for workers, counted from the start date or the agreement date, whichever is earlier.
If a person's status changes (suspension, interim bar, interim exclusion, revocation or expiry), your nominated contact is emailed. They must stop child-related work immediately.
You won't be told the reason for the change.
Keep a register: contact details, clearance type and number, date verified, start and stop dates, and evidence of the check or exemption. Keep it for 7 years after the person stops.
Record the end date in WWC Connect on the same 21- or 7-day clock.
Real life
General examples only. Your principal decides the edge cases, and our two-minute clearance check walks through them.
Regular contact with students, not just their own child. Check before the first shift, then connect within 21 days.
Child-related work. The 21-day clock can start on the day they agree to come, if that's before the camp.
Children are around, but contact isn't part of the role. Record the decision. Running the kids' rides could change the answer.
Members need a clearance (VIT-registered teachers and students excepted) and are connected when elected or re-elected.
Usually child-connected. Their employer connects its own staff. You still check any clearance you require and log the visit.

The two clocks
The clock starts on the first day of child-related work, or the day you agreed to engage them if that was earlier. The same clock applies when they stop.
School council members: no deadline is published, so we use 21 days until it's confirmed. Open the full calculator for end dates and a calendar reminder.
