VICWWC Connect starts Monday 19 October 2026

Every volunteer checked, connected and on record.

From 19 October, Victorian schools must connect volunteers and workers to the school in WWC Connect within 21 or 7 days. iComply tracks every clock, keeps the evidence and tells you what's due today.

Decision support, not legal advice. iComply is independent and is not affiliated with the Department of Education, the Social Services Regulator or Service Victoria. Victoria only. Rules last checked against the Department's policy and vic.gov.au. Your school still does the official check and connect in the Government's tools.

What changed

Three things are new.

Your duty to check clearances hasn't changed. What's new is how the regulator knows who is working with your students, and how fast you must tell them.

Connect every person

Check the clearance before they start. Then connect them to your school in WWC Connect within 21 days for volunteers or 7 days for workers, counted from the start date or the agreement date, whichever is earlier.

Alerts come to you

If a person's status changes (suspension, interim bar, interim exclusion, revocation or expiry), your nominated contact is emailed. They must stop child-related work immediately.

You won't be told the reason for the change.

Records for seven years

Keep a register: contact details, clearance type and number, date verified, start and stop dates, and evidence of the check or exemption. Keep it for 7 years after the person stops.

Record the end date in WWC Connect on the same 21- or 7-day clock.

Real life

Five people you'll see this term.

General examples only. Your principal decides the edge cases, and our two-minute clearance check walks through them.

Canteen parent

Serves every class at lunch

Usually required

Regular contact with students, not just their own child. Check before the first shift, then connect within 21 days.

Camp helper

Three nights at Year 5 camp

Required

Child-related work. The 21-day clock can start on the day they agree to come, if that's before the camp.

Fete volunteer

Runs the sausage sizzle

Principal's call

Children are around, but contact isn't part of the role. Record the decision. Running the kids' rides could change the answer.

School council

Newly elected member

Required

Members need a clearance (VIT-registered teachers and students excepted) and are connected when elected or re-elected.

Visiting tradie

Fixes the gym roof

Principal's call

Usually child-connected. Their employer connects its own staff. You still check any clearance you require and log the visit.

How it works

Decide. Verify. Connect. Monitor. Retain.

iComply is the control tower around WWC Connect. The official check and connect still happen in the Government's tools. We make sure they happen on time, and prove it.

  1. Decide

iComplyAsks the right questions: child-related, child-connected, exempt or council. The principal's call is logged with a reason.

You stillMake the decision. It's the principal's call.

  2. Verify

iComplyA verify-before-start checklist with clearance type, number, date and who checked. Flags any check done after the start.

You stillLook the person up in the official WWC status checker.

  3. Connect

iComplyConnect-by clocks with reminders at 7, 2 and 0 days, and a worksheet of the details WWC Connect asks for.

You stillConnect the person in WWC Connect.

  4. Monitor

iComplyLog a status alert and it turns red at once, with a stop-work, record-the-date and update checklist.

You stillReceive the alert from WWC Connect and update it there.

  5. Retain

iComplyA local register kept for 7 years after each person stops, with offboarding clocks and a deletion lock.

You stillRecord the end date in WWC Connect.

The two clocks

7 days or 21 days.

The clock starts on the first day of child-related work, or the day you agreed to engage them if that was earlier. The same clock applies when they stop.

School council members: no deadline is published, so we use 21 days until it's confirmed. Open the full calculator for end dates and a calendar reminder.

For principals

Your duty is clear. Your evidence should be too.

You stay responsible for who works with your students. iComply makes sure every decision, check and connection has a date, a name and a reason behind it.

  • Every principal's call is logged with the reason and who made it.
  • Checks done after a start date are flagged, not hidden.
  • Overdue connections and status alerts sit at the top of one list.
  • Whether to re-confirm open-ended volunteers each year is your setting: Government sources differ, so you choose.

Questions

Straight answers.

Something we haven't covered? Ask us.

Does iComply connect to WWC Connect?

No. You still check clearances in the Government's WWC status checker and connect people in WWC Connect. iComply tracks every deadline, keeps the evidence and proves what was done and when.

Does it replace our volunteer spreadsheet?

Yes. The register holds the details the Department asks schools to record, plus connect, end and consent dates, with reminders and a 7-year retention lock. You can export it at any time.

Who is covered?

Volunteers, contractors and other workers doing child-related work, and school council members. People doing child-connected work are the principal's call. Exempt people still need evidence of the exemption kept on file.

We're a Catholic or independent school. Does this apply?

WWC Connect applies to organisations across Victoria. Catholic and independent schools follow their own policies under the same legislation, so check yours. Our pages quote the Victorian government school policy.

Where is our data stored?

In Australia. iComply is Australian-owned and hosted. See our privacy policy.
